Imagineering Interest Group – February 2019 Report

Recent Activities

First Activity
Working with Anothony Parisi and Kathleen Doherty, authors have been selected and confirmed for the ALA Annual Science Fiction and Fantasy program: Malka Older, Sarah Gailey, Martha Well, John Scalzi.
Working with Mark Beatty, made sure that an appropriately sized room would be assigned for the program (based on how packed we were last year.

Forum Planning Committee – February 2019 Report


The group met 1 time this quarter.

Recent Activities

First Activity
Committee met on 03/15/19 with past/current/future LITA president and co-chairs to discuss the next Forum (Fall 2020) and to ask 2019 members to consider being a part of the 2020 committee. So, far most of the committee wants to be part of the 2020 planning committee. Committee members are excited and positive about planning the next Forum!

What will your group be working on for the next three months?
We will need to make a decision in our next April meeting on the following for the Fall 2020 Forum:
* Number of days
* Number of concurrent tracks
* Number of sessions
* Timing of Sessions (Beginning/End Time each day)

Is there anything LITA could have provided during this time that would have helped your group with its work?
Co-chairs will forward a list of 2019 committee members who are willing to be on 2020 committee to Appointments committee and recommend additional members to fill gaps in membership first week of April. We will need an ALCTS and LLAMA member (or need to consult with a rep from each) for the programming subcommittee but waiting on more details/advisement based on the latest 3-Division Steering committee update.

We will need help with getting a 2020 Forum website domain up for committee members to create a splash page so that we can announce to membership that the next Forum will be Fall 2020 and get them excited/curious about the details to come. Ideally, we would like this to happen now (before Annual) to promote branding and communicate buzz. It's important that LITA membership knows what is going on. So, the Communications and Marketing Committee will eventually need to be looped in once the Splash page is created.

Please provide suggestions for future education topics, initiatives, publications, resources, or other activities that could be developed based on your group’s work.
We will definitely create documentation/ checklist for Forum and a timeline on the LITA Forms site. Also, it is my hope to initiate mentoring of Forum presenters to support them with tools to present hands-on sessions more effectively based on feedback received from 2018 Forum Wrap-up meeting.

Financial Advisory Committee – February 2019 Report


The group met 1 time this quarter.

Recent Activities

First Activity
FAC met on March 7 to review the preliminary budget and identified an error that was soon corrected. The expected deficit for 2020 now stands at $46,599. The committee investigated pricing models for a potential virtual forum. We stopped investigating after the planning committee decided not to pursue a virtual conference at this time. Here is what we found before we stopped.

-It's possible to increase the Zoom license for 1 month for $1000 to increase attendance or have simultaneous tracks. Zoom also has automatic audio transcript recording.
-Accessibility considerations will take additional time.
-To do a decent and professional job it will be necessary to contract it out.

Questions from Amigos: How long will the virtual conference run? Is LITA thinking this would be a one day conference? Two day? More? Less?
How many concurrent sessions would you ideally like to have?
Would there be a single opening and/or closing keynote?
Is LITA expecting attendees to have access to the conference sessions recordings and if so, for how long after the conference?
Would LITA expect Amigos to serve as session hosts/moderators and provide technical support to attendees before, during, and after the conference?

One limitation the Amigos system has: "Big Blue Button does not support video or audio playback so the presenter would be unable to play a video or audio clip during their presentation."

What will your group be working on for the next three months?
We will continue to support the Board in any way that is requested. We may need to revisit the merger and the virtual forum at some point.

Top Technology Trends Committee – February 2019 Report


The group met 1 time this quarter.

Recent Activities

First Activity
In January, we met to ensure that the panel format was organized. We also provided the moderator with slides, logos and contact info of all panelists. The Vice Chair and I met with panelists and answered emails to answer any lingering questions about the session.

Second Activity
A few committee members also attended dinner with the panelists the night before the panel. At the panel, we had members announcing the session, counting heads, and assisting with social media questions and promotion.

What will your group be working on for the next three months?
We will open a call for panelists for the Annual session next Monday. I will also be reaching out to several folks as well as identifying ways to contact a diverse group of possible panelists. We will then review panelists and meet with them to create the format of the session and PR for Annual.

LITA happy hour at ALA Midwinter – Executed happy hour event in Seattle. Attendance count ~50-70 attendees.

Third Activity
LITAchat on twitter – Two events in November and January with Planning for March Event featuring LITA members and a tech project they're working on. This work has involved CAM and now BLOG subcommittee to feature panelists on LITABlog.

Bylaws and Organization Committee – February 2019 Report

Recent Activities

First Activity
By request of LITA President Bohyun Kim, the committee drafted a document outlining new guidelines for virtual voting for the LITA Board to use when tackling action items between meetings (both online and in-person). The chair shared the draft with the board for initial reactions/suggestions and received great feedback. The committee plans to submit the amended draft as an agenda item for final approval at the next board meeting.

Web Coordinating Committee – February 2019 Report


The group met 7-10 times this quarter.

Recent Activities

First Activity
We have continued work on the new Jobs site. Our sub-committee noticed a number of issues related to accessibility on the new site. After several meetings we were able to fix these problems.

The WCC continued to maintain our WordPress sites by updating plugins as necessary.

Third Activity
In addition to working with the new Jobs site, the committee also finished working on the 2015 LITA Forum website. There were a number of problems related to image sizing which needed to be addressed. We also added links to the 2017 and 2016 LITA Forum websites enabling people to easily navigate to the previous year.

Fourth Activity
The Web Coordinating Committee updated the main LITA web pages with information about relevant activities at MidWinter and took the information down once the event had passed. We also put up links to the 2019 election information.

What will your group be working on for the next three months?
We have just begun to work on the LITA Documentation website. There is a need to address the organization of information on the site as well as the user experience design. We have formed a sub-committee to address the matter. This project will also serve as a way to test out WordPress themes and design elements for potential use on other LITA WordPress sites.

Communications and Marketing Committee – February 2019 Report


The group met 2-3 times this quarter.

First Activity
CAM continues to handle promotional requests for LITA's Facebook and Twitter accounts, using a social media rotation calendar to ensure that committee members fairly share responsibilities for posting duties.

Second Activity
We also continue to collect social media analytics for LITA's Facebook and Twitter accounts, using both platforms' analytics features, plus LITA website referral stats from Google Analytics. We record these and share them with Mark Beatty.

Third Activity
CAM continues to support the Membership Development Committee's #LITAchat initiative, a live chat project on Twitter designed to boost member engagement. CAM, MDC, and the LITA Blog are all now partnering on this project, with MDC scheduling chat topics and recruiting interviewees, the LITA Blog running profiles of the interviewees prior to the chats, and CAM handling the marketing and running the actual #LITAchat sessions.

We will continue to post to LITA's social media platforms, monitor promotion requests, coordinate LITAchats with MDC and the blog, and collect social media analytics.
